Privacy Policy
Last updated: October 2026
This policy explains how SmileBill Inc. ("SmileBill", "we") handles personal information collected through this website, www.smilebillai.com. It does not cover the SmileBill application at app.smilebillai.com; how we handle information in the application is set out in each client's service agreement.
What we collect
- Contact form. Your name, email address, practice name and the message you write, when you choose to send them.
- Analytics. Google Analytics uses cookies to record how the site is used: pages viewed, approximate location (city or region, worked out from your IP address), device and browser, and how you found the site.
- Spam protection. When you send the contact form, Botpoison checks that it came from a person rather than a bot. To do that, it processes your IP address and browser details.
- Server logs. Our hosting provider records standard request details, such as IP address, browser and time, to keep the site secure and running.
Please don't include patient information in the contact form. We don't need it to respond, and the form isn't designed for it.
How we use it
- To reply to your inquiry.
- To understand which pages are useful, so we can improve the site.
- To keep spam and abuse out, and to protect the site.
- To meet our legal and accounting obligations.
We don't sell personal information or use it for advertising. We only send marketing email to people who have agreed to receive it, and every such email includes a way to unsubscribe.
Who processes it for us
We use FormSpark to receive contact-form submissions, Botpoison to filter spam, Google Analytics for site analytics, and Amazon Web Services to host the site. Each has its own privacy policy for the information it handles on our behalf. Some of these providers store and process information outside Canada, including in the United States, where it is subject to local law.
Cookies
Google Analytics sets cookies named _ga and _ga_* to tell visits apart. You can block or delete cookies in your browser settings, or install Google's opt-out browser add-on for Analytics. The site and contact form work either way.
How long we keep it
We keep contact-form submissions as long as we need them to respond and for our business records, then delete or anonymize them. Analytics data is kept according to our Google Analytics retention settings.
How we protect it
We take reasonable technical and organizational measures to protect what you send us. No way of sending information over the internet is completely secure, though, so we can't guarantee absolute security.
Your choices and rights
You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to our using it. Contact us at the address below. If you're not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d'accès à l'information.
Children
This site is for dental professionals and isn't directed at children. We don't knowingly collect personal information from children.
